How to use the run-of-show clock
One link for the whole team on November 13. Everyone sees the same segment, the same countdown and what comes next, so nobody has to text or wave to know where the show is.
1. Open the clock
- Put it on your home screen. iPhone and iPad: open the link in Safari, tap Share, then Add to Home Screen. Android: open the menu, then Install app. It then opens full screen and works without a connection.
- Keep the screen on. The clock asks the phone to stay awake. If the bar says "Tap to keep the screen on", tap it. If it says "Set Auto-Lock to Never", go to Settings, Display and Brightness, Auto-Lock, and choose Never for the night.
- Dim it. Tap Brightness to step through full, dim and dark, and turn the phone's own brightness down. Backstage near the audience, use dark.
2. Read the clock
- Now
- The segment on stage, who is on, what is on screen, the lights and audio note, and a big countdown of the time left.
- Next
- The next segment, who it is, when it starts, and the get ready line in gold, such as "Jacob: bring the painting to the stage".
- The thin line
- The whole night from doors to the end, with a white mark at now. Under it: "On time" or "Running 4 min late".
- The list
- Every segment still to come. Finished ones fold into "Earlier tonight"; tap it to see them, greyed out.
What the colours mean
- No colour
- On track.
- Gold, "Last minute"
- Under a minute left in this segment.
- Red, "Over time"
- The segment has run past its end, for example "+0:45 over". The rest of the show moves later until the show-caller starts the next segment.
- "HOLD"
- The show-caller has frozen the clock. Everyone holds where they are until it goes away.
3. My cues
- Tap My cues and pick your name. Crew can pick "Lights and audio" or "On screen".
- The list shows only your segments, and the Next card becomes "Your next cue", with your own get ready line.
- Two minutes before your cue, and again at thirty seconds, the edge of the screen pulses gold and a banner says what is coming. Android phones also buzz. iPhones cannot buzz from a web page, so keep the clock in view. It never makes a sound.
4. If it says Offline
"Live · synced" in the bar means this screen has every change. "Offline · last known times" means it lost the connection: it keeps counting down on the last times it received and catches up by itself within a few seconds of the connection coming back. If the show-caller changes something while you are offline, you will not see it until then, so look at someone else's screen if you are unsure.
5. Call the show (one person only)
The show-caller opens show.yogabehindbars.org/call and signs in with the show-caller password (ask Jacob for it). Every button changes everyone's screen within a second or two.
- Start now
- The big gold button. Tap it the moment the next segment actually begins. The segment on stage ends, the next one starts counting from full, and every later time moves to match.
- Hold
- Freezes every countdown and shows HOLD on every screen. Tap Resume the show to carry on from the same number. Later times move by however long the hold lasted.
- +1 min and −1 min
- Move the end of this segment, and everything after it, a minute later or earlier.
- Extend
- +2 min, +5 min, or Until I start the next: the segment runs long on purpose, so it shows gold "Running long" instead of red.
- Skip
- Takes the next segment out (for example, if the phone call does not connect). Everything after it moves up. Tap any row in the list to skip that one, put a skipped one back, or start a different segment now.
- Restart this segment now
- Use it when a segment started late on its own: it counts the segment on stage from full, starting now.
- Undo
- Takes back the last button. Tap it again to go further back.
How segments start. In Show settings, "When I tap Start now" is the normal way to run the show: a segment stays on screen, and turns red when it runs long, until you start the next one. "On the clock" moves on by itself at each planned time; use it if nobody can call the show.
6. Change the times or names
The schedule lives in a Google Sheet. Anyone can edit it before the show, without touching any code.
- Make the sheet once. Download the current schedule. In Google Sheets choose File, Import, Upload, pick the file, and choose Replace spreadsheet. Then Share, General access: Anyone with the link, Viewer.
- Edit it. One row per segment. The columns are start, end, segment, who, on screen, lights/audio, notes, get ready. Write times like 7:05 PM (8:39:30 PM works too). In "who", separate names with commas: the My cues list is built from them. In "get ready", write "Name: what to do", and separate two lines with a semicolon.
- Load it. The show-caller pastes the sheet's link into Show settings, The schedule, taps Preview the sheet, checks the table and any problems listed, then taps Load this schedule on every screen (twice, to confirm).
Loading a schedule puts every screen back on its planned times. Do it before doors open, not during the show. During the show, use the buttons instead.
7. Rehearse
- Everyone together (the dress rehearsal and the dry run): in Show settings, Rehearsal, pick the segment to start from, a start time or now, and a speed (1x to 20x). Every screen shows "Rehearsal" until the show-caller ends it. At 10x the whole show takes about 16 minutes, at 20x about 8. End the rehearsal before doors open.
- On your own: add
?preview=7:50&speed=10to the link to run the show on your screen only, from 7:50 PM at ten times speed. Nobody else sees it.
8. Before doors
- Show-caller: the rehearsal is ended (no "Rehearsal" banner), and How segments start says "When I tap Start now".
- Everyone: the bar says "Live · synced", the phone is charged and on its charger if it can be, and the brightness is down.
- Performers and crew: My cues is set to your name.
